Program Coordination Checklist

Through NHM, we conduct hundreds of meetings and training every year. It is important that we do it in such manner that the process is streamlined and is done through the right procedure. There are also several small things to take care of while conducting a program/training. Even the most experienced among us could forget/overlook some minor detail, and this could ultimately wreak havoc in the whole program.

Checklists are a way of ensuring that human follies don't happen. Through checklists, we will be able to ensure that all activities are done well. In his book 'The Checklist Manifesto', renowned author and surgeon Atul Gawande says:
Good checklists, on the other hand are precise. They are efficient, to the point, and easy to use even in the most difficult situations. They do not try to spell out everything--a checklist cannot fly a plane. Instead, they provide reminders of only the most critical and important steps--the ones that even the highly skilled professional using them could miss. Good checklists are, above all, practical.
Here, we are introducing one checklist. This checklist is to be used when planning and implementing a program/training/meeting.

When the first thought of conducting a meeting/training comes to your mind, think of this checklist. Print it out and use it. Read it carefully and tick off the items you have completed. Some of the items may seem silly/naive but rest assured, maintaining a checklist takes discipline. Take that responsibility for yourself.

Our work primarily deals with improving processes and getting consistent results. This checklist helps improve the planning and implementation process of meetings/ training so as to make them more productive.

How to prepare for the weekly feedback?

Positive and negative feedback loops are important components of mission monitoring and course correction. All stakeholders need to know what to communicate and how to communicate. PROs and PRO/LOs perform an important task with respect to program monitoring. It is their frank communication with headquarters that help in devising appropriate policy support for various activities. So how does one prepare for the weekly feedback?

The brainstorming

The first step in preparing for weekly feedback is the brainstorming. Sequentially go through all the activities done in your institution over the past one week (Sunday to Saturday). Note them down under 4 separate headings in your notebook. An example is given below:
Once this list is complete, go through it once again to see that you have not missed anything and that you have included all necessary details.
Make sure to include all relevant details on NHM programmes and overall functioning of the institution.

Weekly feedback for institution PROs

Feedback is an important part of course correction. We are implementing a process of weekly feedback over the phone from all major hospitals. But due to exigencies of time, sometimes, the process does not happen seamlessly. This leads to miscommunication and inadequate communication.

To prevent this and to ensure seamless communication, we have devised a system of online feedback on weekly basis. This online weekly feedback system will essentially replace the former telephonic system.

Weekly Feedback for Institution PROs

The form is pretty straightforward. Simply select your name and enter the details asked for. Feedback is asked for in 4 sub-headings - infrastructure, HR, service delivery and others. Add specific activities as bullet points.

However, please ensure to contact DPM directly over the phone for communication of any time sensitive matter. We hope that this feedback system will ensure better communication with headquarters.
